Position Summary
The Office Administrator is responsible for supporting the day-to-day operations of KDCDC by providing
administrative, financial, and client service support. This role ensures the efficient functioning of the office
through effective organization, recordkeeping, and coordination of internal processes. The Office Administrator
works closely with staff, clients, and stakeholders to maintain a professional and well-managed office
environment.
Key Responsibilities
- Administrative & Operational Support: Provide general office administration, prepare documents and
reports, maintain filing systems, coordinate meetings, and manage office supplies and equipment.
- Financial Management: Assist with bookkeeping tasks including invoicing, expense tracking, payroll
preparation, accounts payable/receivable, and routine banking.
- Reception & Client Services: Manage incoming communications, respond to inquiries, support clients
and visitors, and coordinate schedules, meetings, and travel arrangements.
- Compliance & Reporting: Maintain accurate records, support report preparation for management and
Board, and ensure adherence to organizational policies and confidentiality requirements.
- Communications & Support: Assist with website updates, social media correspondence, and
preparation of materials and presentations as required.
Qualifications & Skills
- Post-secondary education in business administration or a related field (or equivalent experience).
- Administrative experience is considered an asset.
- Experience with accounting software (ex. Sage Accounting) is an asset.
- Strong organizational, communication, and time management skills.
- Ability to manage multiple priorities and maintain attention to detail.
- Proficiency in Microsoft Office.
- Valid driver’s license and reliable vehicle.
- Criminal record check required.
- Occasional evening work may be required.
- Bilingualism in both official languages (English/French) is required.
